Terms & Conditions

By registering for the RMNH 2027 Conference, you agree to the following terms and conditions:

1. Registration and Payment

  • All participants must complete the online registration form and submit full payment to confirm their attendance.
  • Registration is only considered complete once payment has been received and a confirmation email issued.
  • Special deal, Early bird, Regular, and Onsite registration rates are applicable based on the date of payment, not registration form submission.

2. Cancellation and Refund Policy

  • Cancellations and alterations must be submitted in writing via email to the conference organizers.
  • Refunds will be processed as follows:
    • No refunds are acceptable if registered at Special deal rate. 
    • Cancellations received by 30 April 2027 – full refund available with 10% administrative fee deducted, applicable to all rates except Special deal. 
    • Cancellations received from 1 May 2027 until 31 July 2027 – 50% of paid registration fees will be refunded, applicable to all rates except Special deal. 
    • Registrations cancelled from 1 August 2027 will not be eligible for a refund.
  • Name changes are permitted free of charge until 15 September 2027.

3. Conference Program

  • The organizers reserve the right to make changes to the conference program, speakers, schedule, or venue due to unforeseen circumstances.
  • Every effort will be made to communicate any changes in advance.

4. Liability

  • The organizers are not responsible for any personal injury, loss, or damage to personal belongings during the conference.
  • Participants are advised to arrange appropriate travel and health insurance.

5. Photography and Media

  • By attending the RMNH 2027 Conference, you consent to be photographed, filmed, or recorded for promotional and archival purposes.
  • If you prefer not to appear in photos or video, please notify the registration desk on-site.

GDPR & Privacy Notice

In accordance with the EU General Data Protection Regulation (GDPR), an official RMNH 2027 conference organizer Human Rights in Mental Health-FGIP, reg. no. 52712389, official address P.O. Box 1956, 1200 BZ  Hilversum, The Netherlands is committed to protecting and respecting your privacy.

1. Data Collection

  • When you register for the RMNH Conference, we collect personal information including your name, email address, affiliation, billing details, and dietary or accessibility requirements (if provided).
  • This information is used strictly for the purpose of event organization, communication, billing, and participant services.

2. Data Storage and Access

  • Your data is securely stored and only accessible to FGIP board, authorized RMNH 2027 organizing committee members and service providers (e.g., payment processors, venues, badge printers) directly involved in conference logistics.
  • We will not share your information with third parties for marketing purposes, except in relation to future RMNH conferences. 

3. Legal Basis for Processing

  • We process your data based on your consent (by submitting the registration form) and our legitimate interest in organizing and managing the event.

4. Retention Period

  • Your data will be retained only as long as necessary for the purposes outlined above, and no longer than 12 months after the conference, unless required by law.

5. Your Rights

Under GDPR, you have the right to:

  • Access your data
  • Correct inaccuracies
  • Request deletion
  • Withdraw consent
  • Object to processing
  • Lodge a complaint with a supervisory authority
